As usual we are making a cost saving by not printing and posting a copy of the AGM documents (Agenda & last year's accounts) to every single member but instead making it available for you to download, read and print off to bring with you.

There are only a few simple rules to attending the AGM:
YOU MUST BRING YOUR MEMBERSHIP CARD
Without your membership card you will not get a voting slip so you won't be able to vote. Go find your card now and make sure you put it in your wallet - you won't leave home without your wallet, will you?
YOU MUST BOOK LUNCH IF YOU ARE COMING
Do not think "oh they must allow for some people deciding to come on the day" - yes we do, and they are expected to bring a packed lunch with them - if you want the Club to provide a free lunch then it is only fair you let us know you are coming! To book your free lunch send an email to Jim Lepley (firstname.lastname@example.org) before 20th March giving him your membership number and your lunch will be booked (you can of course book lunches for more than one member in an email).
YOU MUST GET THERE BEFORE IT STARTS
We're expecting nearly 200 people so please allow not only for traffic on your journey but time to find the parking, collect your voting slip and grab a hot drink before it starts. We shall be starting promptly at 11:30am so get there around 10am (or sooner if you don't mind mucking in) and make sure you are checked in before we close the desk at 11:15.
YOU MUST PRE BOOK YOUR DINNER IF YOU WISH TO ATTEND IT
As usual there will be a dinner on the Saturday night. You can only attend the meal if you have pre-booked and paid for your places so please read the section below entitled "Why not stick around for the evening" for details.
YOU SHOULD BRING YOUR OWN COPY OF THE AGENDA
The expectation is that you will download the AGM Agenda using the link near the top of this page and then read it. If you are coming along then you are also expected to print it off, that also means you can make notes on it when you read it so you are all prepared for the meeting.
If you need to stop overnight
If you are travelling far and need to stay overnight then please book rooms direct with the Hotel (Call 01908 694433 or email email@example.com) and mention that you are attending "The BMW Club Event". You won't be alone as the organising team are already booked in as are a few other members who live too far away to make it all in a day.
Unfortunately there is no camping on site so you will have to make your own arrangements with a campsite nearby, there are however spaces for 4 motorhomes - If you would like one of these spaces then they must be pre-booked before the 20th March with Jim Lepley (firstname.lastname@example.org) @ £20 per night.>
Why not stick around for the evening?
If you live near by or have booked a hotel room then why not take the opportunity to chat with like-minded members. There is an evening meal organised for the Saturday night (click here to see details) but you have to pre-pay (£25 per person) and pre-book that with the organising team before 20th March - please drop Jim Lepley (email@example.com) an email and get booked in and paid up before the 20th March if you want to attend the evening meal and he will let you know how to pay.
Why not muck in?
If you can get there early enough or maybe are already planning on staying the Friday night, then why not help out a little?
The organising team are all volunteers and any help we get is greatly appreciated. We can usually do with a hand marshalling arrivals up the road and in the car park, or any number of little tasks through the day. Just let one of the organising committee know that you are available to help and they'll find a task for you.
If you know ahead of time that you can help then please drop an email to The National Social Secretary (firstname.lastname@example.org).
If you can't attend
Of course not everyone can attend but you still have the chance to have your say: download and print the Proxy voting form, fill it in and then send it to the General Secretary (details are on the form itself) and your vote will count. If you can't decide how to vote then you can let your proxy decide and vote for you. By default that person would be the Chairman of the meeting (normally the President), in which case you do not need to provide their address, but you can also nominate any other person however they of course have to attend in your stead. Either way you have to get that Proxy Vote form filled in and sent to the General Secretary so he receives it before 11:30am on April 2nd.
