As usual we are making a cost saving by
not printing and posting a copy of the AGM documents (Booklet & Accounts) to every single
member but instead we make them available here for you to download, read and print
off to bring with you.
There are only a few simple rules to attending the AGM:
- You must bring your membership card
- You must pre-book your lunch
(or bring a packed lunch with you)
- You must get there in time to register before checkin closes (11:15am)
- You must pre-book your dinner place(s) if you intend to stay for dinner.
- You SHOULD bring your own printed copy of the Agenda (and accounts if you want to refer to them)
YOU MUST BRING YOUR MEMBERSHIP CARD
Without your membership card you will not get a voting slip so you won't be
able to vote. Go find your card now and make sure you put it in your wallet - you won't leave
home without your wallet, will you?
YOU MUST BOOK LUNCH IF YOU ARE COMING
Do not think "oh they must allow for some people deciding to come on the day" - yes we
do, and they are expected to bring a packed lunch with them - if you want the Club to
provide a free lunch then it is only fair you let us know you are coming!
YOU MUST GET THERE BEFORE IT STARTS
We expect nearly 200 people so please allow not only for traffic on
your journey but time to find the parking, collect your voting slip and grab
a (free) hot drink before it starts. We shall be starting promptly so
get there at least 30 minutes before (or sooner if you are willing to muck in) and make sure
you are checked in before we close the check in desk at 11:15am otherwise
you will not have a voting slip and will not be able to vote.
YOU MUST PRE BOOK YOUR DINNER IF YOU WISH TO ATTEND IT
As usual there will be a dinner on the Saturday night. You can
only attend the meal if you have pre-booked and pre-paid for your places so please
download the booking form (using the link above once booking is open) for details.
YOU SHOULD BRING YOUR OWN COPY OF THE AGENDA
The expectation is that you will download the AGM Agenda using the link
near the top of this page and then read it. If you are coming along
then you are also expected to print it off, that also means you can make
notes on it when you read it so you are all prepared for the meeting.
If you need to stop overnight
Samlesbury is the closest (but small) town but has plenty of hotels and B&Bs, you will
have to sort out your own accomodation so please try to get close to the AGM
venue so that you can join in with the Friday and/or Satruday evening
socialising.
Tent, Caravans and Motorhomes are able to stay at the AGM venue for a
charge of £9 per person per night plus £4 per vehicle per night for campervans and caravans
(tents free) - these need pre-booking through with
Pam using the booking form (download this and fill it in from the link
above). This price includes a cooked breakfast each morning between 8am and 9am.
If you live near by or are staying locally then why not take the
opportunity to chat with like-minded members. There is an evening meal organised for the Saturday night
but you have to
pre-pay (£24 per person) and pre-book that before
12th April - please download the booking form (near the top of this page)
then fill it in and send it to Pam to get booked in and paid up before the
13th April. Spaces are very limited and the meal is booking up fast so
please contact Pam without delay.
Why not muck in?
If you can get there early enough or maybe are already planning on
staying the Friday night, then why not help out a little?
The organising team are all volunteers and any help we get is greatly
appreciated. We can usually do with a hand marshalling arrivals up the
road and in the car park, or any number of little tasks through the day.
Just let one of the organising committee know that
you are available to help and they'll find a task for you.

If you can't attend
Of course not everyone can attend but you still have
the chance to have your say: download the Proxy voting form, fill
it in (either with your computer or by printing it and using a pen) and then send it to the National Membership Secretary (details are on the form
itself) and your vote will count. If you can't decide how to vote then you
can let your proxy decide and vote for you. By default that person would
be the Chair of the meeting (normally the President), in which case you
do not need to provide their address, but you can also nominate any other
person, however they of course have to attend in your stead. Either way you
have to get that Proxy Vote form filled in and sent to the National
Membership Secretary
so it is received before 11:30am on Thursday 23rd April.
The proxy form will be available once the AGM Agenda is set.
